Club X Photography Policy & Procedures (Rev.A)

In order to protect the privacy of its members and contribute to a “safe, sane, consensual” environment at its events, Club X has adopted a general “no photography” rule at Club X Private Events, with a few exceptions.

Club X requests that at Club X Public Events (controlled or primarily sponsored by Club X), photography only be with permission.

Club X Play Parties & Workshops (and other Club X Private Events)

Club X in general allows no photography (either still or moving images) at its Private Events.

Club X “Private Events” are defined as events which Club X is primarily responsible for coordinating and staffing, and is held in a space which Club X has reserved expressly and solely for its own event and strictly controls access to, such as a play party or a workshop in a reserved venue where doors may be closed to keep out the public and where entry is granted only under certain conditions by Club X Board of Directors (entry conditions including but not limited to producing a photo ID for proof of age or identity, or signing a liability release, or paying an entry fee, or purchasing an event ticket).

From time to time, at its sole discretion, the Club X Board of Directors may grant a limited exception upon written request to the Board stating the time and location of the private event, the reasons for the exception, the conditions under which the photography will occur, the identities of those taking the photos, and the planned distribution or use of the photos. Authorization from the Club X Board is only valid if expressly given in writing prior to the event and is specifically limited to that event under the conditions approved by the Board. Such authorization is non-transferable, and Club X Members and attendees must be notified by the Board prior to the event through event announcements and at the door prior to entry into the event.

Entrance to Club X Private Events is only granted to those who agree to abide by the no-photography rule, unless express prior written exception is made. If someone violates the rule:

• The offender will be removed from the event without refund
• The offender will be required to digitally erase or otherwise destroy all images immediately
• The offender will be prohibited from any distribution of the images
• The offender may be barred from all future Club X events
• The offender may be barred from the Club X current and future membership rosters

Notification of Policy

Members and Guests are notified of the Club X Photography Policy in the following manner:

• Announcements state “Photography is not allowed”
• Dungeon Rules state “10) NO CELL PHONES, CAMERAS, VIDEO EQUIPMENT OR RECORDING DEVICES OF ANY KIND ARE ALLOWED TO BE USED WITHIN THE CONFINES OF THE DUNGEON SPACE. ANYONE CAUGHT TAKING PHOTOS WILL BE REMOVED FROM THE PARTY/EVENT, AND WILL BE PERMANENTLY BARRED FROM CLUB X EVENTS AND MEMBERSHIP.”
• Application for Entrance form states “11) I understand that this is a private Club X event and agree not to take photos of these events or activities (still or moving images).”
